Dear Madam, dear Sir,
Dear exhibitors,
In the meantime, you all have received the latest version of the print documents for the fair (registration forms and catalogue of advertising material), the first deadlines have just passed and, correspondingly, preparations for the 41st World Money Fair – from 3 to 5 February 2012 – are in full swing.
So, it is about time to introduce you to our organisation team and the people in charge of the specific aspects of the event. Whatever you require in order to prepare your trade show presentation, we will do our best to help you put your ideas into practice. We look forward to resolving any query you may have.
Just a word in advance: From time to time exhibitors ask us, “Why do you need so much lead time? Why do I have to decide as early as today, months ahead of the actual event? Can't that wait a bit?” To put it short: We are afraid it can't. To guarantee an optimal realisation, we in fact do need the indicated lead times.
Our booth construction partners have already started planning the layout of the exhibition area, so that all exhibitors can really use the space they requested. Whoever is left out in this stage of planning due to late registration may have to put up with a second-rate location or even refrain from participating at all.
The same goes for the fair catalogue, various advertising material and the booking of rental furniture. We collaborate with a series of graphic designers, printers and external technical staff who, in turn, have to take into account the times required for design realisation, ordering and production.
Hence, please understand that we insist in the deadlines and sometimes press you a bit. It is all in your best interest! On that note, we are looking forward to a good cooperation in the coming weeks and months!
And to give you an idea with whom you are dealing, please allow us to introduce ourselves. Voilà! Here are your partners to contact:
Christiane Kayser became a part of our team in May 2011, replacing Ms Korssund-Eichinger who was in charge of exhibitor support in the previous years. As an experienced project manager Ms Kayser assists you in details concerning your trade show participation and manages the coordination with the technical staff. Her responsibilities include your registration, and the booking of exhibition space and additional equipment (display cases, banners, furniture etc.). At the same time, Ms Kayser will be pleased to advise you about all kinds of advertising options, compiled in our updated catalogue of advertising material. If required, she will assist exhibitors from abroad who need to apply for visa documentation.

Together with our graphic designers, Ines Pohmer arranges for the fair catalogue and the coin passport to be printed and published in time each year. You can contact her any time to coordinate details of artwork, ads and copy. As she is always aware of design and production deadlines, Ms Pohmer will remind you in time to deliver you text and image files on schedule. In addition, Ms Pohmer makes sure that the Media Forum is perfectly organised, including the scheduling of your rehearsal on site, and is responsible for the proofreading of all World Money Fair texts.

Brigitte Kotulla is the backbone of our team. Whatever you receive from us by mail – exhibitor documents, badges, advertising material and much more – has probably passed through her hands. She makes sure that anything you request from the World Money Fair reaches you in good time. Also at our office, Ms Kotulla will be pleased to assist you at any time.
In the run-up to the World Money Fair, Ms Paulus manages all editorial aspects of the event, writes copy for information material and brochures, and organises our press relations. During the fair, together with Ms Balz, she ensures smooth operations and is always available if any problem should turn up. She is also the one who coordinates our many helping hands who provide technical support or look after your booth. Also, she will ensure that you are “served” a copy of the World Money Fair News, hot off the press, each morning.

As managing director of the World Money Fair GmbH, Barbara Balz is responsible for the overall organisation of the event. She is the right person to contact if you have any special requests regarding your exhibition space, if you require additional capacities for a conference, if you would like to agree on a special cooperation, if you consider participating in the Media or the Technical Forum, or if you just need someone to take a quick and competent decision.

To keep you from getting bored until then, once more, our most important deadlines. We kindly request you to send us your
• current registration forms – deadline expired on 31 August 2011 – immediately
• artwork for ads in the fair catalogue – at the latest by 4. Nov. 2011
• details for visa documents – at the latest by 2. Dec. 2011
• orders for exhibitor badges – at the latest by 9. Dec. 2011
• orders for rental furniture – at the latest by 9. Jan. 2012
Moreover, please note there are some other deadlines in November and December 2011 for ordering advertising material. Please see the catalogue of advertising material for more details. We beg you to consider that many service providers rely upon your support, so please place your orders and deliver your data in good time. All given deadlines refer to the latest practicable date. If you reply earlier, it makes our work easier and may save you considerable money.
In addition, we would like to remind you to order the latest version of the World Money Fair mail stickers and advertising flyers soon. These free advertising materials will point the attention of your business partners to your presence at the fair.
We are looking forward to a busy time of preparations and to meeting you again in Berlin.
